How to Import Data

The Import feature allows you to efficiently manage data entry in the Transport Management System (TMS). There are primarily two methods for importing data:

  1. Bulk Importing

  2. Manually Importing


How to Bulk Import

The Import menu provides a powerful tool for bulk data entry, allowing you to efficiently add multiple entries at once. This feature is particularly useful for large-scale updates or initial system setup. Here's how to use the Import function:

  1. Navigate to the Import menu in the system

  1. Select the type of import you wish to perform. The system supports imports for:

    • Passenger 

    • Vehicle

    • Location

       

  1. Prepare your data in an Excel sheet. Ensure your data is formatted correctly according to the system's requirements.

  2. Once your Excel file is ready, click on the "Select files…" button.

  1. Browse your computer and select the prepared Excel file or you can simply drag and drop the files to upload.

  1. Once the import is complete, the system will display a summary of the import results, including:

    • Number of records successfully imported

    • Any errors or issues encountered during the import

  2. Review the import summary carefully. If there were any errors, you may need to correct your Excel file and try the import again.

  3. If the import was successful, you can now view the imported data in the respective menus (Passenger, Vehicle, or Location).



Remember to double-check your data before importing, as bulk imports can significantly affect your system's data.

Bulk Import Format

When using the bulk import feature, ensure your Excel sheet follows the correct format for each import type. Below are the required fields and formats for Passenger, Vehicle, and Location imports.


Important: All fields should be created in your Excel sheet. Make sure to fill in all mandatory fields. Non-mandatory fields can be left blank if the information is not available or not applicable.

Ensure all mandatory fields are filled out correctly in your Excel sheet before attempting to import. Non-mandatory fields can be left blank if the information is not available or not applicable.

How to Manually Import

In addition to bulk imports, you can also manually import data one by one. This method is useful for adding individual records or making small adjustments. 

  1. Navigate to the relevant menu (e.g., Passengers, Vehicles, Locations).

  1. Click on the "+ New" button (e.g., "+ New Passenger").

  1. Fill out the required fields in the form.

  1. Click "Save" to add the entry to the system.

This method allows for greater control and accuracy, especially when handling unique or specific entries that may not fit bulk import formats.
